1. Who We Are
Renova Pro LTD. ("Renova Pro," "we," "us," or "our") operates a B2B restoration-services platform connecting commercial partners with certified restoration professionals. Our registered place of business is in Alberta, Canada.
This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in accordance with Alberta's Personal Information Protection Act (PIPA) and Canada's federal Personal Information Protection and Electronic Documents Act (PIPEDA).
2. What Information We Collect
We collect personal information only to the extent necessary to provide our services. This includes:
- Account information: Name, title, business email address, phone number, and company affiliation of partner contacts and restoration professionals.
- Work order information: Service location addresses, on-site contact names and phone numbers, service descriptions, photographs of items requiring restoration, and scheduling preferences. We do not collect or store patient records, health information, or personal financial account details.
- Billing information: Invoiced amounts, invoice reference numbers, payment dates, and payment method type (processed by our payment provider; full card details are never stored by us).
- Usage and technical data: IP addresses, device type, browser, and login timestamps collected automatically for security and service-quality purposes.
- Website analytics: On public marketing and legal pages, Google Analytics 4 collects aggregated usage data (e.g., pages viewed, approximate location, device/browser type) to help us understand site traffic. Analytics is not loaded in authenticated partner, pro, or admin portals.
- Communications: Content of messages sent through the platform, including sign-off requests, scheduling confirmations, and support inquiries.
We do not collect sensitive personal information such as health records, government identification numbers, or biometric data.
3. How We Use Your Information
We use personal information to:
- Operate, maintain, and improve the Renova Pro platform and services
- Create and manage partner and professional accounts
- Assign, schedule, and track restoration work orders
- Process and issue invoices and record payments
- Send service-related notifications (scheduling, sign-offs, status updates)
- Respond to support requests and communications
- Monitor security, detect fraud, and maintain audit logs
- Measure public website traffic using Google Analytics 4
- Comply with legal obligations and enforce our agreements
We do not sell personal information to third parties, and we do not use personal information for advertising purposes.
4. Disclosure of Personal Information
We share personal information only in the following circumstances:
- Service delivery: Work order details (location, contact, service description) are shared with the assigned restoration professional to enable service delivery.
- Subprocessors: We engage third-party service providers to operate our platform (see Section 5). These providers are contractually bound to handle personal information only on our instructions and in accordance with applicable privacy law.
- Legal requirements: We may disclose personal information if required by law, court order, or to protect the rights, property, or safety of Renova Pro, our clients, or the public.
- Business transfers: In the event of a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will provide notice before such a transfer occurs.
We do not share personal information for marketing purposes without explicit consent.

Transfers of personal information to subprocessors located outside Canada are made pursuant to appropriate contractual safeguards consistent with PIPEDA Schedule 1, Principle 4.1.3.
6. Data Retention
We retain personal information only as long as necessary for the purposes for which it was collected, or as required by law:
- Work order records: 5 years from the date of service completion
- Partner and professional account data: 5 years from account closure or last activity
- Billing and invoice records: 7 years (to meet tax and accounting obligations)
- Security and audit logs: 2 years
- Prospect/CRM data: 2 years from last contact if no client relationship is established
Upon expiry of the applicable retention period, personal information is securely deleted or anonymized.
7. Security
We implement appropriate technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, and destruction, including:
- Encrypted data transmission (TLS/HTTPS) for all platform communications
- Encryption of data at rest in our database
- Role-based access controls limiting information access to authorized personnel
- Multi-factor authentication required for all administrator accounts
- Security audit logging of privileged actions
- Regular security reviews and vulnerability assessments
No method of transmission or storage is 100% secure. In the event of a breach that creates a real risk of significant harm, we will notify affected individuals and the applicable privacy regulator as required by PIPA and PIPEDA.
8. Your Rights
Subject to applicable law, you have the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete personal information
- Withdrawal of consent: Withdraw consent to the processing of your personal information where processing is based on consent (subject to legal and contractual limitations)
- Complaint: Lodge a complaint with the Office of the Information and Privacy Commissioner of Alberta (OIPC Alberta) or the Office of the Privacy Commissioner of Canada (OPC)

10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and notify users through the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
